Major Duties & Responsibilities

Administration:

  • Answer all incoming calls and relay messages
  • Greet and direct all clients and visitors
  • Receive and distribute all incoming mail and courier deliveries
  • Prepare all outgoing mail and courier packages
  • Assist in banking requirements (i.e. deposits) when necessary
  • Create, print and distribute Work Orders to all necessary parties
  • Enter Work Order data into Sage Accpac Project Job Costing
  • Maintain accurate and comprehensive Excel spreadsheets used for tracking: Work Orders, IRC Identification Numbers, Proposal Log and Invoicing
  • Assist in the preparation of proposals, reports and tender packages
  • Prepare specification documents and CCDC documents
  • Maintain Timecard input and disbursements as necessary
  • Upload, print and scan drawings as required
  • Assist in the typing of correspondence letters, proposals, observation reports and draft documents
  • Obtain WCB and other insurance certificates
  • Maintain production reports for weekly meetings
  • Log and reserve scheduled meetings for the boardroom
  • Maintain the boardroom in a presentable manner
  • Maintain supplies for both office and kitchen
  • Load and start dishwasher at the end of each day
  • Maintain Iron Mountain paperwork and processing
  • Maintain general filing
  • Other assigned general administration duties as necessary

Business Development:

  • Continuously expand new customer base by routine prospecting and cold calling to search for new opportunities for IRC to provide services to new clients; calls will include telephone and email introductions, diligent fact-finding conversations, timely and consistent correspondence, and in person meetings at prospects’ place of business, office, etc.
  • Seek new opportunities with existing clients as directed and transitioning to new customer opportunities
  • Support local sales efforts for IRC National Accounts as directed
  • Respond to opportunities by preparing accurate and effective proposals that detail services offered, terms and conditions, and associated fees; proposals must be reviewed under the direction of the National Sales Manager prior to issuing
  • Attend IRC’s Calgary production meetings to understand project progression and to relay client expectations to IRC production teams
  • Attend and participate in sales meetings with other members of the Business Development team across the company
  • Prepare and enter all sales activities in the Prophet CRM program; use the CRM as the sales and organizational tool, and to prepare reports illustrating progress and performance
  • Assist in the preparation of proposals for other members of the IRC team on an as-needed basis

 

Requirements & Qualifications

  • Post-secondary degree or diploma in an associated or related field
  • 3-5 years of experience in receptionist role
  • Experience in engineering, consulting or construction industry is an asset
  • Advanced proficiency in Microsoft Office applications (Excel, Word, Power Point, Outlook)
  • Excellent problem solving skills
  • Superior telephone manners and strong interpersonal skills
  • Strong customer service orientation
  • Ability to act with business integrity and possesses strong attention to detail
  • Proven strength in written and verbal communication
